Fairmont Kea Lani Kōkua Fund Application

GENERAL INFORMATION:
The purpose of the Fairmont Kea Lani Kōkua Fund is to provide aid to Fairmont Kea Lani colleagues impacted by emergency situations. The Fund is currently making distributions to assist Fairmont Kea Lani colleagues and their families who have been impacted by the wildfires in Maui, which have been declared a qualified disaster and the subsequent economic impact resulting.
This fund provides essential financial relief and recovery assistance for Fairmont Kea Lani colleagues who were classified as Active Full Time or Part Time as at August 9, 2023 with a documented need for:
- Financial support for loss or damage to residence due to the Maui fire disaster.
- Essential living expenses reimbursement for clothing, medications, food, and other costs related to fire loss or damage.
- Support for colleagues who suffered economic hardship. Defined as those who were:
- Were approved for unemployment insurance between 8/9 and 9/30 AND had no vacation days to cover the 7 days unemployment insurance waiting period.
OR - Who are able to demonstrate loss of bi-weekly income by over 65% vs an average of the 6 previous pay periods.
- Were approved for unemployment insurance between 8/9 and 9/30 AND had no vacation days to cover the 7 days unemployment insurance waiting period.
- Unexpected medical expenses not covered by insurance due to the Maui fire disaster for colleagues and dependents listed on policy as at August 9, 2023.
- Support for our colleagues that opened their homes to displaced families who lost their primary home as a result of the fires of August 2023.
- Funeral expense support for those that lost immediate family related to the fires.
All relief payments are made and distributed by Charitable Ventures, a 501(c)(3) public charity, on behalf of the Fund. Applicants must provide validation of need, and applications will be accepted until the funding is expended. Only Fairmont Kea Lani colleagues may apply for relief payments. A maximum lifetime allowance will be established once scale of fund is determined.
INSTRUCTIONS AND PROCESS:
Step One: Application
Employees must complete the application in full, including uploading all the requested documentation. Please take the time to ensure that your application and documentation are accurate and complete.
When you submit your application, an immediate screen notification will pop-up to show that your application has been received. If it does not, please contact the Fund at FairmontRelief@charitableventuresoc.org or by phone at (714) 597-6630 x134 and we will respond as quickly as possible to confirm receipt.
Step Two: Verification and Notice
All applications will be verified and uploaded documentation reviewed. The Fund Review Committee will prioritize payments to employees in greatest need. You will be notified of receipt of your successful application submittal at the email address you provide in your application.
Distribution decisions will be made weekly as funding continues to come in. If your application is not funded in the first round of distributions, it may be funded in subsequent rounds.
There is no guarantee of a relief payment, as the total amount of funds raised is yet undetermined.
Step Three: Fund Distribution
Once approved, awardees will receive communication of payment amount, and will receive an electronic transfer to the bank information provided on the application within 3 days. If an awardee does not have a bank, a paper check will be processed for pick up at the Fairmont Kea Lani within 5 days of approval.

ELIGIBILITY:
Eligible Associates:
- Full-time associates of Fairmont Kea Lani who were employed on Aug 9, 2023 and remain employed on the date of application.
OR - Part-time associates of Fairmont Kea Lani who were employed on Aug 9, 2023 and remain employed on the date of application.
Not Eligible to Apply:
- Temporary, contract, and non-full time or part-time Fairmont Kea Lani colleagues.
- Eligible colleagues who have not experienced a direct impact from the fires.
- Eligible colleagues whose crisis is not directly related to August fire disaster.
- Family members of Fairmont Kea Lani colleagues.
TYPES OF SUPPORT AVAILABLE:
Funding decisions will be dependent upon the amount raised to support this relief effort. Funding decisions are made at the discretion of the Review Committee that is managed by Charitable Ventures. The amounts allocated will be based on scale of fund once determined. A lifetime maximum will be established per employee once the scale of fund is determined.

DOCUMENTATION REQUIRED:
You will be asked to provide the following documentation and information in the application to be considered for funding. The committee understands the difficulty in some cases in securing these documents and will work with applicants as best as possible to complete their application.
Documents – Please upload ONE OR MORE of the following documents:

- Photographs of damaged property or belongings of residence
- Copies of official reports filed with local authorities
- Any insurance claims filed including a summary of what has been claimed and the status of the claim
- Proof of residence – utility bill, lease agreement, mortgage statement showing primary residence within the affected areas
- Receipts of temporary lodging or for clothes or other essential items
- Evidence of economic hardship as outlined above
- Proof of unexpected medical expense
- Evidence of sudden and unexpected growth in members under roof and subsequent support – grocery bill, utility bill change, photograph of living arrangement
- Certificate of fatality, identification through MPD
- Approval documentation from unemployment insurance
- Supporting wage calculations
- Increased housing expense: utility bill, food bill, evidence of displaced family residing
- Other as you feel appropriate that will help confirm the requested support
APPLICATION PERIOD:
Application will be available as of September 1, 2023. The application portal will remain open until all funds have been expended.
